Job Title : Administration Assistant – Front Desk

 

JOB PURPOSE :

 To welcome visitors, respond to front desk inquires and phone calls.  Admin Assistant-front desk shall follow-up and keep log for internet and telephone payments, air time distributions, and staff list with telephone address.

MAJOR RESPONSIBILITIES :

Welcomes visitors by greeting them, in person or on the telephone, answering or referring inquiries.Receive, direct and communicate telephone messages and fax messagesDirects visitors by maintaining employee and department directories, giving instructions.

Open and date stamp all general correspondence.Draft correspondence in relation with Ethio-telecomDistribute mails and newspapers to appropriate offices.Maintain documentation of all mail services (Mail, DHL) correspondences and guests for referenceMaintain staff list with telephone number and make sure it is updated regularly

Facilitate purchase of mobile air time and distribute for concerned staffSettle monthly bill of telephone and internet bills Follow-up and settle DHL paymentsFacilitate subscription of new internet and telephone service and payments (ADSL, 4G, SIM cards etc)

Support Administration team in bill settlement of air tickets, hotels, etcIn the absence of  Archive and  Recourse Management Officer process bid selling/receiving  in coordination with Procurement Department

Other assignments assigned by the supervisor.

KNOWLEDGE/QUALIFICATIONS FOR THE ROLE :

Required Education, training, license, registration, and certification :

  • Degree graduate in Secretarial Science, Management or related subject ;
  • Knowledge of reception, guest relations  ;
  • Excellent communication skill, email correspondence clear and brief ;
  • Excellent English language skills and  excellent interpersonal skills ;
  • Excellent team player skills ;
  • Flexible, efficient and cooperative ;
  • Commitment to WVI’s aims, values and principles ;
  • Hones,  trustworthy and respectful ;
  • Demonstrate sound work ethics ;
  • Minimum 2 years of experience preferably holding similar position.

Language Requirements : Effective in written and verbal communication in English and local language.
