The Internship Programme is a learning opportunity aimed at attracting young and talented candidates. The programme will provide the successful candidates with the opportunity to put into practice and implement their learned and academic knowledge in a field related to the work of WFP. This will promote better understanding of WFP Kenya mandate and programmes. Similarly, the programme will provide WFP with qualified individuals specializing in relevant fields in line with WFP’s Strategic Objectives and the UN Sustainable Development Goals.

WFP’s activities include food assistance for relief, school feeding, safety nets, nutrition, and food assistance for assets creation through provision of in-kind and cash-based transfers. You will be part of an efficient and dynamic team that effectively support in the implementation of WFP’s country strategic plan for Kenya.

JOB PURPOSE

Management Services, especially the asset management and stores docket currently manages the assets received for the CO and dispatched to various offices and this workload is quite heavy and challenging as any errors can lead to loss of resources, damage of assets and in accurate data of the assets as well as the respective custodians of said assets, as well as the risk of theft in the stores.

KEY ACCOUNTABILITIES (not all-inclusive)

Asset & Stores Management

  • The intern will work with Staff in asset and stores section in day-to-day activities.
  • Receipt of assets in the stores either new assets from suppliers or old assets from other WFP offices.
  • Tagging of assets
  • Recording of new assets in the WFP Corporate systems Global Equipment Management System (GEMS) and generate the equipment record (EMR).
  • Dispatch of assets to various offices and preparing Transfer Work Orders for the assets in GEMS
  • Prepare and issuance of individual staff inventory forms.
  • Support with the preparation of the monthly management report.
  • Support with the preparation of the quarterly risk report.

STANDARD MINIMUM QUALIFICATIONS

Education:

  • Bachelor’s degree in Business Administration and/or Stores Management or equivalent.
  • Graduated no longer than 1 year ago from a Bachelor’s/master’s degree or equivalent studies.

Language:  Fluency in both oral and written English is required.

SUCCESS CRITERIA

  • Accurate updated assets records in the GEMS (Custodian/location) following movement of staff within Nairobi Office.
  • Accurate updated stock cards in the WFP non-food items (NFI) Stores.
  • Timely closure of Work Orders upon receipt of goods in the NFI stores.

DELIVERABLES/OUTPUTS

  • Monthly stock reports for Non-Food Items (NFIs) in Nairobi Stores
  • Issuance of individual inventory forms for staff in Nairobi by Mid-September 2024
  • Updated Stock Cards of NFIs in stores by August 2024

MILESTONE

  • GEMS update – By End June 2024
  • Stock cards in place – By End August 2024
  • Report on status of Work Orders – Bi-Weekly for Transfer work orders and Monthly for Loan work orders

TERMS AND CONDITIONS

  • Interns receive a monthly stipend from WFP depending on the duty station of assignment.
  • WFP is not responsible for living expenses, arrangements for accommodation, necessary visas and related costs.
  • WFP will recognize candidates’ educational credentials from recognised institutions that have been certified by competent international or national authorities such as the United Nations Educational, Scientific and Cultural Organization (UNESCO) or Ministries of Education.
  • The internship duration is 8 months, full-time.
