Employee Contract Type : Local – Fixed Term Employee with Imprecise Term

Job Description :

#MAJOR_RESPONSIBILITIES :

  1. Organize weekly meetings with commodity staff to evaluate previous week in term of success and weaknesses in order to plan efficiently the beginning week.integrity within the LMMS and CTS systems ;
  2. Ensure of availability of Food distributions plans, Dispatch authorization plans before all dispatches on the field ;
  3. Get in contact with the communities and / or local authorities ( Head Masters of Schools)  to ensure of  their implication in the all activities and that they have information about planning distributions in their respective communes or areas ;
  4. Ensure if Logistics equipments and enough staff prepared are available for  each distribution which is planned ;
  5. Ensure if receipt, delivery and distributions of food and NFI meet WVB and donors standards ;
  6. Ensure if delivery from the Warehouse has been done safely according to the dispatch authorizations and that all quantities reached in good conditions at the field and distributed to the right beneficiaries ;
  7. Make a follow up of all distributions, daily and weekly reports for the preparedness of the Monthly Report ;
  8. Plan Monthly Meetings with other departments which link with the commodity department and ensure that all sectors can work in order to meet the same objective ;
  9. Ensure documentation of commodity and end use and regularly, timely submit each reports summarizing those movements ;
  10. Facilitate and make a follow up of all staff under his responsibility (FM, HIRO staff, Warehouse staff) in all their activities so that their activities, their plans can meet the objectives of satisfaction of beneficiaries ;
  11. Verify physical inventory for all warehouses to ensure that food and non-food commodity book balances match the actual stock in the warehouses ;
  12. Ensure that warehouses are well-maintained and meet basic safety regulations and that adequate steps are taken and adequate facilities are available to offload commodities in a timely and orderly manner ;
  13. Provide trainings to staff for effective and efficient system operation at field level ;
  14. Ensure proper handling and reporting of cut/torn bags and losses/damages, and disposal of unfit commodities ;
  15. Assist the Grant Manager , as required in all aspects of logistics and commodity management.

KNOWLEDGE, SKILLS AND ABILITIES :

  1. Minimum of a Bachelor’s degree in a relevant field or Diploma but backed with 3 years of experience in the field of Food Assistance Programming and Management ;
  2. Knowledge of commodities & logistics operations, preferably within WV context, specifically those that relate to food distributions, warehousing, reporting, tracking, monitoring and chronic malnutrition prevention etc. Experience in negotiating projects with WFP or UNICEF ;
  3. Conversant with WFP, UNICEF and DMT requirements ;
  4. Minimum of 3 years experience designing, planning, implementing, supervising and reporting on Food Assistance Programming and at least 2 years experience as food grant Coordinator ;
  5. Minimum understanding of nutrition programming in Burundi ;
  6. Extensive conceptual understanding of and demonstrated practical command for implementing program design, management and evaluation principals ;
  7. In-depth knowledge of community development ;
  8. Report writing skills and computer knowledge ;
  9. The holder of this position must be a results orientated leader who can manage and satisfy multiple and at times conflicting organizational, donor and other stakeholder demands ;
  10. The holder must also have solid public relations skills and be a strong team player.

 

WORKING ENVIRONMENT :

  • Travel : 90% Domestic travel is required ;
  • On call : 10%.
