WFP Malawi is seeking qualified and dynamic candidate for the position of Programme Associate SC6 as per details below;

Qualifications :

Education :

  • Malawi School Certifcate of Education ;
  • Bachelo’s Degree in Economics, Commerce or Social Studies .

Key accountabilities : (not all-inclusive)

Specifically, under the guidance and supervision of the Programme Policy Officer, the Programme Associate will be responsible for the following duties .

Partnership Management, Payments and Reporting :

  • Support effective working relations with other agencies, local authorities and implementing partners on issues related to reporting and submission of invoices through information exchange ;
  • In liaison with Sub-Office and activity managers conduct regular follow ups with Cooperating Partners, Financial Service Providers, Government and other relevant partners to ensure reports and invoices are submitted on time as per agreed standard operating procedures and signed agreements ;
  • Support drafting of Standard Operating Procedures on partnership management to enhance compliance and operational effectiveness and efficiency ;
  • In liaison with Sub Office and activity managers develop standard operating procedures for invoice processing for all programme activities ;
  • Timely creation of Purchase Orders in WINGS against all signed Field Level Agreements ;
  • Provide guidance and training on invoice payment processes to Sub Office and Cooperating partners (CPs ) .

Funds Management and Reconciliation :

  • Develop a budget expenditure tracking tool for all WFP partners across all programme activities. Update this tracking tool on regular basis, prepare monthly status reports and flag any issues that require action ;
  • Perform timely reconciliation of all transactions between WFP and its partners ;
  • Monitor budgets, and carry out forecasting for new and ongoing projects according to established corporate procedures and requirements ;
  • Develop tools to ensure effective grant management. Work closely with RMA section and activity mangers to ensure expenditure prioritizes expiring grants, flag any issues requiring action .

 

Other duties :

  • Support development of manual and electronic filing systems of project documents including field level agreements(FLAs), MoUs, contracts, distribution plans, reports, reconciliations and payments ;
  • From time to time, support with smooth implementation of cash-based transfers and SCOPE activities .

Desired experiences for entry into the role :

  •  Has contributed to implementation of programmes ;
  • Experience in field of data management/business processes/accounting ;
  • Experience in working with the UN or any international NGO ;
  • Has observed or assisted with policy discussions.
