Standard minimum qualifications
Education: At least Bachelor’s or equivalent degree in Social science, Economics, Nutrition, Agriculture, International Relations, Planning, Management, Monitoring and Evaluation of Project/ Programme or Business Administration .
Experience : Five or more years of progressively responsible work experience in Planning, Management, Monitoring and Evaluation of Project/ Programme including at least two years in general administration
Language: Fluency in both oral and written communication in French and intermediate knowledge (level B) in english language.
Organizational context
These jobs are at WFP Benin Country Office (Cotonou) and the job holders will report to a Programme Policy Officer or the designate.
At this level, job holders are responsible for the completion of a range of specialized processes and activities requiring some interpretation of standard guidelines and practices. They work under minimum supervision, perform basic analyses and compile reports to support information consistency and smooth implementation of projects/programmes.
Job purpose
To perform specialized policy and programme-related processes and activities to support the effective delivery of assistance package. To participate in planning needs, expenditures according to Program resources, manage Program Partnerships. To ensure tracking for resources; reviews and evaluations recommendations. To take actions in WINGS and track Program items in WINGS (PR, PO, SES, FLA creation, etc.)
- Perform specialized and/ or standardised processes and activities within the specific technical area of work supporting alignment with wider programme policies and guidelines.
- Provide project management and/or general office support following established targets and WFP’s policies and procedures.
- Assist the Head of Programme in the preparation, implementation and monitoring of the different activities of the program.
- Maintain an up-to-date inventory of program implementing partners.
- Assist the Head of Programme in organizing follow-up missions, working meetings including with partners, to discuss the progress of the program.
- Prepare activity expenditure plans and contribute to budget monitoring.
- Maintain a simple database containing monthly data on food delivered, distributions by type of activity, number of people assisted by gender and age.
- Maintain all documents (reports, notes on file, budget, correspondence) relating to the implementation of the program;
- Take action in WINGS (FLA, PR, PO, GRN / SES, down payment, create FLA, etc.) and track open items in the system, invoices and update NGO files
- Prepare weekly / monthly / quarterly / annual reports (including the SPR) on the progress of the program and the activities carried out and update the briefing notes / information and specific reports on the implementation of the program.
- Prepare letters and information documents on the program; maintain all documents (reports, notes on file, budget, correspondence) relating to the implementation of the program; and classify soft and hard documents of the program;
- Perform all other operational tasks according to the needs of the program.
