Description :

Accountabilities :

Within the assigned unit and delegated authority, the IT Operations Assistant will be responsible for the following duties :

  1. Carry out system maintenance tasks, such as performing monitoring tasks, running system diagnostics, and system optimisation, to ensure they are running effectively and enable easy and efficient use ;
  2. Maintain technology, including standard repairs, configuration, and storage, in accordance with data security and access controls to ensure IT equipment required for WFP staff is available ;
  3. Prepare files and systems for inventory and archives, such as website content and directories, to ensure information is accurate and up-to-date ;
  4. Allocate tasks to other colleagues, ensuring that tasks are delivered to agreed standards and deadlines, to support the effective delivery of services ;
  5. Respond to a variety of queries about technology and systems in order to assist WFP staff to deliver their services ;
  6. With support of senior colleagues, provide standard training to end users of technology and systems to ensure staff use standard technology and systems effectively ;
  7. Perform routine deployments of server hardware and software, including testing and the identification of problems, to contribute to the effective functioning of technology ;
  8. Responsible for maintaining information records such as updating web pages and statistical databases to ensure the information is current and well organised ;
  9. Install, operate and maintain telecommunications systems and equipment, to ensure optimal services in compliance with standard operations procedures ;
  10. Support the development of standard material such as training documentation and web content on behalf of senior officers, to ensure staff have access to required information about IT services and products ;
  11. Suggest improvements to methods and processes in order to support the continuous improvement of IT services ;
  12. Follow set emergency response processes and procedures as required to provide support in enabling emergency food assistance needs to be met ;
  13. Provide technical support to the head of unit, end users with inquireies and issues related to hardware, software, media, or other company systems ;
  14. Clearly document requests and incidents using IT service management system ;
  15. Assist in expanding available support documenetation by writing knowledge base articiles ;
  16. Proactively coordinate communications between end users and appropriate IT area(s) as needed ;
  17. Provide basic network support and security /access administration services (e.g. passwords, biometric, etc..) ;
  18. Configure workstations, install software and maintain and update the hardware and software asset inventory lists ;
  19. Partner and keep up to date with rest of the IT team and assist with projects as needed or requested ;
  20. Support to the management on physical assets disposal. Documentation preparation for submission to management; and maintenance for disposal action and entry in GEMS of all the requisite details for recording disposals;
  21. Support to the annual physical inventory verification exercise by checking the accuracy of records and location of property;
  22. Preparation of inventory reports as required ;
  23. Receiving, inspecting and verification of all incoming ICT equipment ;
  24. Tagging all furniture/equipment upon receipt from the supplier.  Update of non-expendable property inventory record and track movement of furniture piece ;
  25. Entry in GEMS of all the requisite ICT asset management information, updating asset management system (GEMS) to ensure the information is current and well organised ;
  26. Respond to a variety of queries about technology and systems in order to assist WFP staff to deliver their services ;

Expected Results :

To deliver high quality technical support, system and data maintenance across a range of areas, in order to contribute to the effective delivery of IT services.

 

Critical Success Factors :

Ability to take responsibility for completion of a range of processes and activities requiring interpretation of standard guidelines/practices; ablility to recommend a course of action to staff at various levels and  allocate tasks to other staff.

 

Minimum qualifications :

Desirable Education :

Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.

 Experience :

  • Has experience resolving more complex technical issues ;
  • Has worked with head of units in defining requirements for functional area ;
  • Has experience with the application of client services standards to resolve or escalate clients’ service 
problems.

Knowledge & skills :

  • Demonstrates awareness of overall IT governance structure and system architecture development to support the process and assist in design of interaction between systems ;
  • Independently decides what action to take when faced with critical choices in the workplace or in dangerous situations in the field.
