WFP recruits a Programme Assistant (SC,L5) – Cairo, Egypt

About WFP :

WFP Egypt is embarking on a new Country Strategic Plan 2018-2022 which addresses four results : everyone has access to food, no one suffers from malnutrition, food systems are sustainable, and institutional capacity is strengthened. In partnership with the Government Of Egypt, WFP provides school meals for up to vulnerable children and their family members, improved livelihoods of smallholder farmer and Bedouin communities on an annual basis and combats malnutrition.  Moreover, WFP implements a nutrition-specific intervention addressing the first 1,000 days of life and supports food insecure Syrian refugees in Egypt with food vouchers and resilience building activities.  All these activities are being carried out by a multi-sectoral Programme team under the leadership of the Head of Programme

Standard minimum qualifications :

Education : Bachelor degree in Business Administration or in another related functional area

Experience : Five or more years of progressively responsible work experience in the relative business stream with experience in general administrative work

Language : Fluency in both oral and written communication in English and Arabic

Context :

These jobs are found in Regional Bureaux (RBs), Country Offices (COs), Area/Field Offices (AOs/FOs). The job holders typically report to a Programme Policy Officer or the designate.
At this level, job holders are responsible for the completion of a range of specialized and/or standardized processes and activities requiring some interpretation of standard guidelines and practices. Job holders are able to recommend a course of action to staff at various levels and may allocate tasks to other support staff. They work under minimum supervision, perform basic analyses and compile reports to support information consistency and smooth implementation of programmes/projects.

Job purpose :

To perform specialized and/or standardized policy and programme-related processes and activities to support the effective delivery of assistance packages.

Key accountabilities :

  1. Daily follow up of the dedicated Facebook page to assistance of Syrian Refugees and responding to all inquiries/complains.
  2. Drafting and uploading any updates about UNHCR or WFP through Face book page or SMS ;
  3. Respond to all inquiries/complains from suggestion boxes post distribution ;
  4. Prepare the mass information materials for the field monitors to be disseminated during the distribution cycle ;
  5. Ensure appropriate messages are being updated and communicated with refugees through the hotline ;
  6. Manage the beneficiary hotline by rotating people to answer the hotline and preparing the hotline report at the end of every week ;
  7. Revise the voucher log and send it to finance ;
  8.  Initiate and process administrative actions such as those found in human resources, travel, procurement, and IT ;
  9. Coordinate and arrange facilities for meetings and workshops ;
  10. Organize and assist travel arrangements in line with administrative rules and procedures ;
  11. Initiate purchase requests (PR) and follow up on goods and services received (GR; SES) within the purchase orders (PO) ;
  12. Facilitate and organize the monthly distributions including car rental schedule, travel, security guards, and equipment .
