Brief description of the Assignment:

The Events coordinator will support in the organization of major events within the department with a focus on the Global Gender Summit (GGS) to be held end of November 2019. The GGS is an international high-level event organized every two years by the multilateral development banks. The Bank will hold the 2019 Global Gender Summit in Kigali (Rwanda) at the end of the year.

TERMS OF REFERENCE : Consultant –  Events Coordinator

Background :

The African Development Bank (the Bank) is a leading development institution on the continent, focused on promoting economic development and poverty reduction. It engages with the full range and complexity of development challenges in Africa. The Bank has integrated operations, lending directly to the public and private sectors through a variety of instruments. It also provides advisory services to Regional Member Countries. The role of the Gender, Women and Civil Society (AHGC) Department is to coordinate and improve coherence across the Bank on Gender and Civil Society issues. In order to achieve its mandate, the department actively engages and builds alliances with external stakeholders, development partners and the civil society on promoting gender equality, women’s empowerment and civil society engagement.

Rationale :

The AHGC department is seeking the recruitment of a consultant to support in the organization of major events within the department with a focus on the Global Gender Summit (GGS) to be held end of November 2019. The GGS is an international high-level event organized every two years by the multilateral development banks. The Bank will hold the 2019 Global Gender Summit in Kigali (Rwanda) at the end of the year.

Tasks & deliverables of the consultants :

Under the overall guidance, supervision of concerned Task Managers, the consultant is required to work on the following tasks:

  • Event planning;
  • Activity Planning and Sequencing o Resource Planning;
  • Developing, updating and monitoring of timeline of activities o Monitoring and Reporting Progress;
  •  Updating Charts and Schedules;
  • Event budget development and monitoring;
  • Relations with Internal Stakeholders/other Bank Departments as well as related internal mechanisms other Bank Departments;
  • Completion of required administrative documentation in close collaboration with the team assistant in charge of this task;
  • Relationship with strategic Influencing & Relations with External Stakeholders;
  • Business partnering, including sponsorships and partnerships
  • Vendors and Suppliers, including the event management company in Rwanda

Qualifications and experience required :

  • A master’s degree in the field of the position (e.g. business management, project management) or equivalent experience;
  • Minimum of 6 years of relevant work experience in event management and project management and related professional credentials;
  • Client and results-oriented with strong analytical and communication (verbal and written) skills, sense of accuracy and attention to detail;
  • Experience managing relations with partners and raising resources from sponsors;
  • Ability to deal with sensitive issues in a multi-cultural environment and to build effective working relations with colleagues;
  • Highly organized, analytical, ability to manage colleagues and manage stakeholder priorities, to delegate tasks, motivate others in a deadline-oriented environment;
  • Fluency in English and French;
  • Competent in the use of standard software applications (MS Word, Power Point, Excel, GANTT, PERT, WBS…);
  • Good understanding of contemporary women’s empowerment and civil society issues in Africa and across the globe, as well as approaches from other international organizations might be a plus;
  • Be a national of one of the member countries of the Bank.

Duration and location of the assignment :

This is a six (6) month consultancy, beginning on July 15, 2019. The Consultant will be based in Abidjan, Cote d’Ivoire and requires full-time presence in the Bank’s offices. Field missions might occasionally be required.

Renumeration :

The Consultant will receive a monthly lump sum. No additional benefits or per diems will be paid. The Consultant is responsible for his/her own health insurance and accommodation costs. The Bank will cover full costs of any required missions and provide per-diem in accordance with rules governing consultant mission travel.

Administration/reporting :

The Consultant will submit a monthly report detailing the activities carried out and the status of each activity. S/he formally report to the Manager of Gender and Women empowerment Division.
