The focus of the CSP remains on support to school meals and nutrition support for Pregnant and Lactating Women as integrated part of the national social protection scheme, food assistance for assets and resilience-promotion for smallholder farmers and support to vulnerable Syrian refugees and migrants. To sustain those planned interventions, WFP will be conducting joint monitoring activities with Government representatives of key line Ministries to enforce the concepts of participation, transparency and accountability to its partners. In addition, capacity development activities will be provided to national counterparts and cooperating partners to ensure efficiency, effectiveness and sustainability and raising their capacity to conduct monitoring at the local level

Job purpose :
To support effective delivery and maintenance of client-focused, value-for-money oriented quality administrative practices.
Standard minimum qualifications :
Education : A University degree in Business Administration, management of or related field.
Language : Good communication skill, both in Arabic and English, is desired
Experience : Five or more years of progressive work experience in Administration; experience in protocol and fleet management would be an added advantage
Key accountabilities (not all-inclusive) :
- Collate and process information including dissemination to support the production of standard documents and reports for the unit, to enable decision-making and the effective management of resources ;
- Manage and maintain paper and electronic records within the area of responsibility in accordance with established procedures, to ensure swift and easy data access as required ;
- Undertake research and perform basic analyses of data, to contribute to the provision of accurate information and effective management of resources ;
- Provide inputs to routine methods and practices in own area of work, to support the continuous improvement of services provided.
Key accountabilities :
Telecom Management :
5. Act as a telecom focal point for the CO. manage all Telecom accounts, Data packages, Voice, international and roaming in accordance to the Standard Operating Procedures. Update Telephone Management System on a timely manner, and ensure that personal recoveries are done on a timely manner; act as a the Focal for contacting the Vendor

Fleet Management :
6. Assist in managing Fleet for the Country Office; supervise the CO Drivers; Assigning of drivers according to transportation plan and share with travel team ;
7. Plan and prepare maintenance schedule for vehicles and ensure timely maintenance of all the vehicles; ensure the regular renewal of insurance and registration of all office vehicles ;
8. Act as the focal point for Fuel Management System and make sure that all data are recorded in a timely manner. Extract reports for the Admin Dashboard; regularly report to HQ on fleet management expenses;
General Services :
9. Create and manage all Admin. related purchase requisitions and Micro purchase Orders and manage vendor accounts (Cleaning consumables- Couriers- Uniform – stationary supplies- Admin tools…etc) ;
10. Ensure all Admin. related commitments for goods and services are properly committed in the system and ensure proper recognition of expenses (IPSAS policy) are posted on time; Monitor all admin related PRs/POs in the system regularly and close them on time ;
11. Register log for all incoming and outgoing mails ;
12. Archive all Admin. related documents (electronically and hard copies).

13. Act as Protocol focal person; ensure timely transactions of all protocol related actions; keep liaising with key people in Govt. offices to ensure smooth transaction of all protocol related requests ;
14. Ensure timely actions on customs clearance for imported goods; maintain proper roster for clearing agents in liaising with the Procurement Unit ;

Terms and conditions :
This is a oe year contract and extension is subject to satisfactory performance and fund availabilty .
