Org. Setting and Reporting

This position is located in the Central Warehouse Section, Supply Chain Management Pillar, of the Mission Support Department of the United Nations Multidimensional Integrated Stabilization Mission in Mali (MINUSMA), Bamako. The Receiving and Inspection Officer coordinates all the Receiving and Inspections activities for the mission. The Receiving and Inspection Officer shall report to the Chief Central Warehouse.

Responsibilities

•Organizes the initial training of the Receiving and Inspection Staff on the United Nations rules and regulations focusing on the Receiving and Inspection workflow, tasks and responsibilities.

•Coordinates and monitors day-to-day activities of the Receiving and Inspection Unit team leaders.

•Distributes the workload among the Receiving and Inspection team, prepares work schedules and time frames for the completion of tasks ensuring that all deadlines are met.

•Certifies acceptance/rejection status on Receiving and Inspection reports or discrepancy reports concerning equipment transferred to the mission from other DPKO missions or availed of through vendors/contractors under local and international contracts.

•Monitors data updated in the UMOJA Inventory Management System and the manual and electronic Receiving and Inspection registers.

•Performs quality control monitoring on physical inspections conducted by the Receiving and Inspection staff.

•Prepares as required, summary reports for review by senior management and Logistics Services Division (LSD).

•Submits justified and documented staffing plans taking into consideration all logistical and financial variables involved.

•Submits proposals for software and logistics training courses and monitors the overall professional competence of the Receiving and Inspection staff in the accomplishment of administrative tasks.

•Drafts revisions of Receiving and Inspection Standard Operating Procedures and workflows.

•Liaises with Inventory Fund Center Managers, Central Acquisition Section and the Procurement Section at the mission and UNHQ regarding Receiving and Inspection activities concerning equipment received;

•Draft correspondences, as required, for transmission to missions/LSD.

•Performs other duties, as assigned.

Education

Advanced university degree (Masters or equivalent) in Business Administration, Logistics Management, Supply Chain Management or related fields. A first-level university degree in combination with 2 years qualifying experience may be accepted in lieu of the advanced university degree.

Work Experience

A minimum of five years of relevant progressively responsible experience in property management, receiving and inspection, or other inventory management or logistics related field is required. Experience in support services, logistics and supply chain management is desirable. Experience in UN peacekeeping or field mission operation is also desirable

Languages

English and French are the working languages of the United Nations Secretariat. Fluency in English (both oral and written) is required; knowledge of French is desirable.

Assessment

Evaluation of qualified candidates may include an informal interview.
