Context :

The Swiss Tropical and Public Health Institute (Swiss TPH) is a world-leading institute in global health with a particular focus on low- and middle-income countries. Associated with the University of Basel, Swiss TPH combines research, education and services at local, national and international levels. 900 people from 80 nations work at Swiss TPH focusing on infectious and non-communicable diseases, environment, society and health as well as health systems and interventions.

The Swiss Centre for International Health of Swiss TPH provides policy advice, project design and management in the area of national and global health with the aim to strengthen health systems and improve health service delivery. This Department is supported by the Project Administration Unit. To fill a vacant position in that Unit we are looking for a service-oriented : Administrative Specialist (70% – 90%).

In this function, you will provide administrative and logistic support to Unit Heads and Project Leaders. You will be located in Allschwil but support our employees all around the world in striving to improve health systems.

 

Your responsibilities include, amongst others :

  • Project invoicing ;
  • Keeping track of project timelines ;
  • Travel arrangements (incl. visa organisation and billing) ;
  • HR related tasks; i.e. establishment of consultancy contracts, data maintenance, on- boarding of new collaborators ;
  • Administrative and logistic support to offices and staff abroad ;
  • Organisation of meetings and events.

To best fit in our lively and interdisciplinary team, you should have the following experiences and skills :

  • A commercial apprenticeship or equivalent diploma/qualification ;
  • More than 4 years of work experience, preferably in an international environment ;
  • Experience in accounting and billing ;
  • Excellent knowledge of the MS Office tools Excel and Word ;
  • Good organisational skills with attention to detail and prioritisation skills ;
  • Flexibility and ability to work under pressure and independently ;
  • Team player with outstanding communication skills and willingness to learn ;
  • Excellent oral and written German and English skills (one language should be mother tongue); good working knowledge of French is an asset ;
  • Interest in projects in resource limited countries.
