Job purpose :

To support the delivery of quality, customer-focused, value for money administrative services that enable staff in country/location operations to deliver food assistance to beneficiaries, in line with WFP’s strategy.

Standard minimum qualifications :

Education : University degree in Business/Public Administration, or other relevant field relating to office management and administration.

Language : General Service (Field) : Fluency in both oral and written communication in Portuguese and English.

 

Key accountabilities (not all-inclusive) :

  1. Coordinate with Ministry of Foreign Affairs and Ministry of Interior for protocol arrangements ;
  2. Process Mozambican visas and stay permits for WFP staff and their dependents ;
  3. Process travel notification forms and cover letters for WFP staff and visiting delegations ;
  4. Arrange and coordinate all meetings between the Mission officials and local authorities ;
  5. Facilitate liaison between the Office and the Host Government counterparts as well as the diplomatic community ;
  6. Collate and process information including dissemination to support the production of standard documents and reports for the unit, to enable decision-making and the effective management of resources ;
  7. Manage and maintain paper and electronic records within the area of responsibility in accordance with established procedures, to ensure swift and easy data access as required ;
  8. Undertake research and perform basic analyses of data, to contribute to the provision of accurate information and effective management of resources ;
  9. Be a first point of contact for internal queries, to facilitate the provision of efficient and effective resolution of daily issues ;
  10. Provide inputs to routine methods and practices in own area of work, to support the continuous improvement of services provided.

Desired experiences for entry into the role :

  • Experience in Protocol and Administration in UN/NGO Organizations or working experiences in diplomatic community or MOFA ;
  • Experience in planning and organizing activities in an international setting, protocol services and working with the government or international personnel are strongly required ;
  • Has demonstrated a high level of proficiency in WFP administrative operating standards in day to day work ;
  • Has provided coaching or training to new staff members within area of expertise ;
  • Has demonstrated an ability to perform all routine administrative activities in line with WFPs operating standards through day to day work ;
  • Has supported in providing ad-hoc guidance to new staff members.

TERMS AND CONDITIONS :

Type of Contract : Fixed Term

Duration : One year renewable

Organizational context :

These jobs are found in Country Offices (COs), Regional Bureaus (RBs), and Headquarters (HQ). The Job holders report to a Head of Unit, Chief, Administration Officer, or the designate.

At this level job holders are expected to take responsibility for completion of a range of processes and activities requiring some interpretation of standard guidelines/practices. Job holders are able to recommend a course of action to staff at various levels and may allocate tasks to other support staff.
