TYPE OF CONTRACT: Service Contract (SC, L5)
DUTY STATION (City, Country): Cairo, Egypt
DURATION: 12 months (extendable, subject to funding availability and successful performance)
ACCOUNTABILITIES/RESPONSIBILITIES:
- Provide assistance on general HR queries and follow-up actions, to ensure consistent and high-quality HR services are delivered to clients.
- Provide guidance and on-the-job training to other staff, to support their development and increased knowledge of HR systems and procedures required to perform their duties.
- Liaise with other internal units and stakeholders on HR related matters, i.e. payroll, contracts, etc. and provide necessary information to enable timely HR services.
- Extract and compile HR data on staff recruitment and selection, contractual conditions, entitlements, performance and training requirements, to support analysis and reporting needs.
- Provide administrative support in various HR activities in the areas of work allocated by the professional officer including onboarding of new staff members in compliance with relevant processes and procedures.
- Maintain confidential personnel records, HR databases and archives, to ensure data and files are accurately stored and updated in compliance with the established standards.
- Draft various HR documentation required for the specific area of work (e.g. employment contracts, transfer letters, training-related documents, etc.) ensuring accuracy and meeting established deadlines.
- Use HR management systems for entering and updating a variety of HR data including assistance in monitoring various deadlines (e.g. contract expiration, PACE, etc.), ensuring compliance with the established deadlines and accuracy of HR data.
- Support staff deployment and related administrative actions including preparation of basic reports, to facilitate efficient HR service enabling WFP to respond quickly to a crisis.
QUALIFICATIONS & EXPERIENCE REQUIRED:
Education: University degree in Business Administration, Human Resources Management, Psychology or Organizational Behavior or any other relevant field.
Experience:
- A minimum of five (5) years of relevant experience in human resources administration, recruitment, personnel management, employee services or related HR functions.
- Previous experience within the United Nations system, international organizations, NGOs or multinational organizations is desirable.
Knowledge & Skills:
- Strong organizational and administrative skills with high attention to detail.
- Ability to handle confidential and sensitive information with discretion.
- Strong client-service orientation and ability to build effective working relationships with stakeholders.
- Experience extracting, analysing and presenting HR data and reports.
- Proficiency in Microsoft Office applications, particularly Excel, Word and PowerPoint.
- Advanced Excel skills for data analysis, reporting and tracking are desirable.
- Experience using HR information systems for employee data management, recruitment administration, reporting and contract management.
- Experience with Workday or similar enterprise HR systems is highly desirable.
- Strong communication and interpersonal skills.
- Ability to manage competing priorities and deliver results within tight deadlines.
- Good knowledge of HR policies, procedures and best practices.
Desired Experience for Entry into the Role:
- Experience supporting end-to-end HR service delivery, including recruitment, onboarding, contract administration, personnel management and employee support.
- Experience preparing HR reports, workforce analytics and management dashboards.
- Experience advising staff and managers on HR processes and procedures.
- Experience delivering onboarding sessions and supporting employee integration activities.
- Experience working in multicultural and fast-paced environments.
- Experience implementing HR policies and procedures in line with organizational standards.
Language : Fluency in both English and Arabic is required.
