Summary:
The work schedule for this position is: Full Time (40 hours per week)

Duties

The Travel Assistant is located in Travel office within the General Service Office and is directly supervised by the Travel Supervisor (FSN-8). The incumbent arranges travels of U.S. citizen personnel assigned to the post, and for the travel and temporary housing accommodations of official and Very Important Persons (VIP) visitors to the post. Position processes all travel arrangements for mission employees, family members of all agencies at post, and other government employees on temporary duty travel to include VIPs traveling to, or transiting Abidjan. Position has no supervisory responsibility.

1-Travel arrangements ( 60 % )

The incumbent makes all official travel arrangements for mission employees (to include their families), considering most direct routes, per diem costs, air and or rail or ship fares, balances of payments considerations and other pertinent factors. Arranges for visas and other entry or departure formalities, and maintains relationships with other Embassies. Prepares verbal notes, correspondence cables, and reports concerning travel matters etc., and ensures that these formalities have been complied with. Incumbent assists and advises travelers on the preparation of Travel Authorizations (TAs) in accordance with travel regulations, and obtains and validates tickets for travel. The incumbent also works with the Expeditors on providing traveler assistance.

2- Lodging Arrangements ( 30%)

The incumbent makes arrangements for temporary lodging or accommodations for U.S. citizen personnel assigned to the post or on TDY by contacting the service provider companies, such as hotels or guest houses. The position negotiates room rates and ensures the booking fare complies with the allowable Per diem rate, security considerations, and travel regulations. Position sends booking confirmation to the requester.

3- Administrative support (10%).

The incumbent maintains all travel-related documents or files and completes required reports as necessary (10%).

Qualifications and Evaluations

Requirements:
EXPERIENCE:  Two years of progressively responsible administrative experience in the travel, hospitality, or customer service oriented field is required.

JOB KNOWLEDGE: Position must be familiar with available travel providers and schedules.

Education Requirements:
Completion of secondary school is required.
Evaluations:
LANGUAGE:

English : Level 3 ( good working knowledge) – reading/writing/speaking is required.  ”This may be tested”.

French:  level 3 ( good working knowledge) – reading/writing/speaking is required. ”This may be tested”.

SKILLS AND ABILITIES : Must demonstrate interpersonal skills and ability to work in a multi-cultural, multi-ethnic environment with sensitivity and respect for diversity. Must be able to deal tactfully, yet effectively, with host country officials and U.S. citizen personnel and VIP visitors. A high degree of tact, diplomacy and persistence is required to be effective. Basic keyboard and numerical skills required.

Agency Benefits:
Locally Employed Staff, including Members of Household (MOHs), and Third-Country Nationals (TCNs), working at the U.S. U.S. Embassy in Abidjan, Côte d’Ivoire may receive a compensation package that may include health, separation, and other benefits.

For EFMs, benefits should be discussed with the Human Resources Office.

The pay plan is assigned at the time of the conditional offer letter by the HR Office.

HIRING PREFERENCE SELECTION PROCESS:  Applicants in the following hiring preference categories are extended a hiring preference in the order listed below.  Therefore, it is essential that these applicants accurately describe their status on the application. * IMPORTANT:  Applicants who claim status as a preference-eligible U.S. Veteran must submit a copy of their most recent DD-214 (“Certificate of Release or Discharge from Active Duty”), Letter from Veterans’ Affairs which indicates the present existence of a service-connected disability dated within the past six months, equivalent documentation, or certification.  A “certification” is any written document from the armed forces that certifies the service member is expected to be discharged or released from active duty service in the armed forces under honorable conditions within 120 days after the certification is submitted by the applicant. The certification letter should be on letterhead of the appropriate military branch of the service and contain (1) the military service dates including the expected discharge or release date; and (2) the character of service.  Acceptable documentation must be submitted in order for the preference to be given.

** This level of preference applies to all Foreign Service employees on LWOP and CS with re-employment rights back to their agency or bureau.
