IRC seeks to recruit an administrator

 Specific duties :

  • Assisting all aspects of day to day operations of accounting department in field office ;
  • Assist in the implementation of Finance policies, procedures and systems ;
  • Ensure compliance with IRC procedures and guidelines ;
  • Review all PRs for proper coding and budget adequacy before approval ;
  • Assisting the Senior Finance Officer in Copying finance documents ;
  • Stamping ‘Receive’ once the payment comes to the finance Office and‘paid’ on all documents once cash vouchers and cheques are signed and cash and cheques disbursed and before filing ;
  • Assisting in processing of payments in Finance department by writing cheques, facilitating approvals ;
  • Maintain petty cash and raise payment as per the need ;
  • Perform the petty cash counts on weekly basis and ensure that they are filed ;
  • Maintain an organized and well documented (all files must be labeled properly and visibly) and sequential filing system for all disbursement vouchers ;
  • Assist in Submitting cash forecast by the end of every month ;
  • Review all payment documents for proper and adequate back up ;
  • Review expenditure worksheets for accuracy and completeness ;
  • Assist in Preparation of bank reconciliation for field office and sending it to main office by 15thand 25th of every month.

Personnel Management :

Serve as technical resource person for the accounting department.

Administrative duties :

Supervise all activities done daily in the Accounts department.

Logistics duties :

  • Review all Po’s and PR’s for proper coding and budget adequacy before approval ;
  • In liaison with Supply chain department, prepare commitment lists every month for financial obligations already entered into but not captured in financial reports.

Finance/Budgeting :

  • Act at all times in accordance with local law and standards of accounting practice.
  • Review with the objective of gaining a clear understanding budget guidelines and instructions
  • Review funding allocations to enable proper guidance to programs and proper coding.

 

Qualifications :

A Diploma or bachelor’s degree in Finance/Business Administration Required

Experience & Competencies :

  •  At least 2 years of finance and accounting experience in a similar post ;
  • Knowledge of Microsoft Office software. SUN System accounting is an added advantage ;
  • Ability to work independently in a rapidly changing professional environment with a view towards establishing administrative procedures and protocol that will ensure optimal functioning of the operation ;
  • Excellent interpersonal, organizational, and time management skills ;
