Position Summary:

Under the guidance and supervision of the Senior Finance and Administrative Officer will support the smooth operation of the organization’s facilities, procurement, inventory, asset verification, fleet, security, administrative work for close out processes for projects closing, and travel management. He/She will be responsible for effective utilization of organizational resources in achieving the above stated deliverables.

Duties and responsibilities:

  • Sourcing of quotations from vendors for goods and services and raising Payment Request Forms (PRF). Assists the Administrative Officer in arranging travel logistics for field office staff,
  • consultants and training participants including hotel reservations and where required,
  • arranging airport and hotel pick-ups. Prepare payment packs for submission for FHI360 Zimbabwe projects and ensure compliance with policies and procedures. Assists in the development of specifications, terms and schedules. Compares bids received
  • and presents recommendations on purchases to supervisor
  • Prepare Travel Expense Reports and generate input unique numbers on EAs.
  • Support the technical team to coordinate program activities, events, meetings and meetings management, i.e. working with logistics to provide transport and work on necessary procurement processes for accommodation and venue hire. Keeping schedule of monthly recurring payments and necessary water refill as well as bin collection Support with the asset verification and consolidation Support with required administrative work during the project closeout processes Keep the inventory up to date and submit replenishment on time when necessary Perform other relevant duties as assigned.

Knowledge, Skills & Attributes:

  • Knowledge of general office practices, procurement, maintenance and administrative procedures.
  • Report to supervisor on variances and status on regular basis. Resourceful in gathering and providing information.
  • Excellent written, oral, interpersonal and organization skills.
  • Ability to work well with others and to develop and maintain compatibility among project staff, subcontractors and recipients of assistance.
  • Well-developed computer skills, including knowledge of Microsoft office products.

 

Qualifications and Requirements:

  • Bachelor’s degree in Social Science/Administration/Health sciences/Business Studies/Accounts, relevant Diploma, or recognized equivalent.
  • At least 2 years of administrative support experience.
  • Proven experience in general administration, procurement, programs support and events coordination.
  • Must have exceptional organizational, analytical and troubleshooting skills as well as the ability to multi-task and to prioritize tasks.
  • Excellent oral and written communication skills.
  • Strong proficiency in MS Excel, PowerPoint and Word.
  • Excellent interpersonal skills.
