FINANCE AND ADMINISTRATION MANAGER

 

BACKGROUND :

Firefinch Limited has been an active gold explorer in Mali, Africa’s third largest gold producer, since 2011. In November 2020 it acquired an 80% interest in the Morila Gold Mine. The State of Mali owns 20%. Morila is an operating gold mine and has a 4.5 million tonnes per annum processing plant and all infrastructure required for a remote mine site. In addition to the Morila mine, Firefinch holds the Goulamina Lithium Project, a world class project ready for development, and several over mining research tenements in Mali.

BIRIMIAN GOLD MALI (BGM) SARL is a subsidiary of Firefinch Limited, active in the field of mining research, based in the Republic of Mali. As part of the development of its activities, Birimian Gold Mali ARL is recruiting, for its Bamako office, a Finance and Administration Manager, as per the below criteria.

 

DUTIES AND RESPONSIBILITIES :

Under the direct supervision of the Country Manager, the Finance & Administration Manager is expected to drive best practices in finance, administration, and human resources management within the organization to maximize efficiency and growth.

The incumbent shall carry out the duties given below to achieve the mission :

Financial Management :

  • Ensure efficient financial monitoring and reporting ;
  • Supervise and maintain financial and administrative records and monitoring systems to record and reconcile expenditures, balances, payments, statements and other data for day-to-day transactions and reports ;
  • Maintain the internal expenditures control system ;
  • Establish clear communication between local and group/corporate office team members ;
  • Prepare the company budget in consultation with the Country Manager ;
  • Prepare financial reports for specific projects in compliance with company’s requirements, including Month end closure and reporting – Quarterly, Half Year, Year-end reporting requirements – and – Tax filing ;
  • Develop and put into practice procedures for handling finances and accounting, review accounting discrepancies and recommend corrective actions ;
  • Keep track of accounts payable and accounts receivable ;
  • Focal point with external entities such as bookkeeping company, banks, auditor and tax authorities, etc ;
  • Monitor the performance of the financial assets ;
  • Make sure tax reporting obligations are timely fulfilled ;
  • Establish reliable and accurate accounting/financial procedures that will enable efficient planning and use of resources contributing towards effective implementation of company activities ;
  • Supervise the performance of team accountants ;
  • Perform any other duties assigned by the Country Manager.

Office Management :

  • Develop, improve and document administrative procedures ;
  • Prepare the annual general meetings, convene and take minutes ;
  • Handle contacts and office contracts ;
  • Track progress of legal disputes and registrations ;
  • Prepare and proofread internal documents ;
  • Facilitate information flow, coordination of schedule and other logistic arrangements ;
  • Lead the preparation and organization of meetings, workshops, seminars, outreach activities, etc. ;
  • Oversee the administrative and secretarial support to the team, including correspondences, maintenance of filing system, printing and photocopying, updating official travel and leave plan, visitor’s list and event list ;
  • Select and enter data from a wide variety of documents, verify accuracy by checking sources, make necessary calculations, and assure inclusion of all relevant data ;
  • Oversee the management of company vehicle fleet.

Human Resources Management :

  • Support the Country Manager in relation to recruitment processes and human resources matters ;
  • Develop and manage human resources procedures in line with the legal framework ;
  • Ensure an efficient time and travel claim reporting ;
  • Supervise and attest payroll processing.

  • Advanced knowledge of appropriate software programs that will facilitate the reporting and control aspects of the project. These include Word, Excel, Microsoft Project, Pronto, SAGE, and other ERP systems ;
  • Purchasing and reconciliation processes ;
  • Excellent interpersonal, leadership and management skills ;
  • Strong communication skills ;
  • Sound understanding of the political/economic/social sensitivities around operating in remote sites ;
  • Strong influencing skills ;
  • Excellent organisational and time management skills ;
  • Good knowledge of mining regulations and best practices.

REQUIREMENTS :

  • University degree in finance, management or equivalent ;
  • Minimum 5-years experience ;
  • Working experience with a mining company is a plus ;
  • Advanced knowledge in Excel and financial systems ;
  • Strong oral and written communication skills in French and English.

 

TERMS :

  • Permanent position with a six months’ probation period, starting as soon as possible ;
  • Full-time, with flexible working hours.
