Personal Assistant to GM Safety Systems and Operational Support

What you’ll be doing :

You will provide administrative and personal support to the General Manager – Safety Systems and Operational Support, to maximise productivity and to implement and manage the systems and processes required to meet day to day objectives.

Additionally, you will be responsible for :

  • Diary management and coordination of personal and business ;
  • Coordinate meetings including scheduling, booking of meeting rooms, etc. ;
  • Coordinate the flow of communication and information to teams ;
  • Prepare correspondence including letters, emails, memos, etc and process incoming/outgoing correspondence as appropriate ;
  • Manage travel and accommodation requirements for the leadership team as required and organise travel needs for clients/guests as required ;
  • Process accounts and prepare expense claims, including raising purchase orders and reconciling invoices ;
  • Prepare and distribute agendas and minutes of a variety of team meetings and other leadership meetings, including following up on action items ;
  • Organise meetings and other major events including team social gatherings ;
  • Assist in drafting Board materials, business cases, changes to policy, presentation and other materials.

 

You’ll be great in this role if you have :

  • Demonstrated experience in personal or executive assistance ;
  • Exceptional time management and organisational skills, demonstrating a high attention to detail ;
  • Prior experience working within a fast paced environment with constant change ;
  • Established experience building relationships with key internal and external stakeholders ;
  • Strong proficient MS office skills ;
  • Effective verbal and written communication skills.
