Position: Accountant
Grade Level: 12

Job Purpose :
The position exists to ensure that all payments are done accurately, within the stipulated time, manage the overall funds held in the bank, and liaise with the bank and suppliers. cash disbursement, SA & payroll processing and financial reporting so as to promote financial stewardship and accountability.

Disbursements :
- Process disbursement request following established policies and procedures ;
- Review back-ups attached to the payment requests for compliance to policy and completeness of documentation ;
- Ensure proper coding on all disbursement vouchers for correct accounts and transaction codes ;
- Payments are done on time following the policies and procedures ;
- Presence of an invoice/payments request register ;
- Proper back up attached to payments ;
- Excel Journal Listings Ready for input to SUN System.
Minimal errors in the coding in the account listing and accurate reports 25%
Cash & Funds Management
- Track daily bank balances and bring to the attention of Finance Manager if shortfall is anticipated ;
- Analyse the cash status, make projections of expenditure for the following month, and prepare the funding request ;
- Presence of sufficient funds for smooth flow of processes ;
- No negative balance in the cash book or bank 15%
Advances and Employee Expense Reports ( EERs)
- Receive, review and process all Employee Expenses Reports and post into SUN System ;
- Process staff Business and Travel Advance and track settlement in accordance with WV policies ;
- Reconciled credit card accounts ;
- Managed the corporate credit card by coordinating the applications, statements, booking of the expenses and preparing the monthly reconciliation 20%
Banking
- Receive and process cash/ Check for deposit and prepare the vouchers for review by Finance manager in a timely manner ;
- Prepare and action bank instructions (Bank Letters, Bank Drafts, Transfers, Introduction/removal of signatories) ;
- Online banking system with only current payments ;
- Online banking payments are effected in the system and review the online banking system to ensure that there are no long-outstanding items 10%.
SA Processing
- Prepare supporting documentation for outgoing SAs in a timely manner ;
- Work with the Finance Manager to clear SA’s outstanding items in the General Ledger ;
- Minimal SA outstanding items in the GL reconciliation ;
- Monthly reconciliation of PA document 5%.
Payroll :
- Ensure checks and transfers are prepared in a timely basis ;
- Prepare Monthly Journal Entries for the payroll and pass it over to the Finance Manager for review before posting to ledger in a timely manner ;
- all staff are paid on time ;
- There is correct Journal Entering for payroll.
KNOWLEDGE / QUALIFICATIONS FOR THE ROLE :
Required Professional Experience :
- 2 years of experience in NGO Accounting ;
- Excellent analytical, organizational and computer skills ;
- Must demonstrate experience working with partner organization
Required Education : training, license, registration, and certification
Bachelor’s degree and experience in accounting.
