About Helen Keller Intl :

Helen Keller International is an international non-profit non-governmental organization whose mission is to save the sight and lives of the most vulnerable and disadvantaged people. It fights against the causes and consequences of blindness and malnutrition by establishing programs based on data and research conducted around sight, health and nutrition. In Cameroon since 1992, we are mainly involved in the fight against Neglected Tropical Diseases and malnutrition.

Helen Keller International Cameroun is seeking to a suitable candidate for the position of Receptionist based in Yaoundé, who will perform the following tasks : 

Title of the position: Receptionist

Duty station: Yaoundé, Cameroon

Supervisor: HR & Administrative Coordinator

Type of contract: Fixed-term contract

Duration: one-year renewable

 

Responsibilities :

The Receptionist is responsible for welcoming users and providing a quality service to visitors and staff. S/he will coordinate the flow of communication internally and externally as well as create and maintain a welcoming environment. S/he will also ensure the management of mail and documents related to the implementation of the programs.

Key areas of responsibility :

Reception :

  • Keep an appointment diary for the office ;
  • Welcome and guide visitors ;
  • Provide support for the management of the office’s daily consumables (tea, coffee, milk, water, etc.) ;
  • Ensure the reception and follow-up of the smooth running of the office’s visitors. 

Ø  Secretariat / Communication  :

  • Handle incoming and outgoing telephone calls (answer, route and correctly receive messages) at the office ;
  • Ensure that the lobby is tidy, maintained and attractive ;
  • Receive, sort, record, stamp and forward incoming documents to the Country Director ;
  • Coordinate the flow of information from the office and ensure internal dissemination of mail ;
  • Ensure proper management of postal and/or express mail (incoming and outgoing) ;
  • Ensure that documents are filed and archived according to procedures ;
  • Draft and/or contribute to the drafting of various correspondence ;
  • Ensure the distribution of outgoing mail in collaboration with the hierarchy ;
  • Keep the office telephone log up to date.

Ø  Meetings planning :

  • Assist in the organization of various meetings ;
  • Assist Programs in the management and planning of appointments and meetings ;
  • Prepare and edit staff mission orders ;
  • Assist the Logistics Officer in the management of urban travel for staff ;
  • Assist in ensuring the cleanliness of the office ;
  • Carry out any other tasks assigned by the supervisor.

 

Minimum requirements :

  • Be a holder of a university degree (High School degree + 2) in business administration, executive secretaryship, human resources, logistics, management, marketing, communication, or any other equivalent degree ;
  • At least two (2) years of experience as a Receptionist, Administrative Assistant, Secretary or in a similar relevant position ;
  • Practical experience with office equipment such as photocopiers, scanners, computers, printers etc.) ;
  • Demonstrated communication skills (oral & written) and computer literacy required (Word, Excel, Explorer, Outlook, PowerPoint, etc.) ;
  • Excellent organizational skills ;
  • Time management and multi-tasking skills, with the ability to prioritize tasks ;
  • Excellent command of French and English (oral and written) with the ability to translate ;
  • Computer skills (proficiency in Microsoft Office).

  • Microsoft Office proficiency ;
  • Skills in building and maintaining effective relationships with staff members and external partners ;
  • Skills in managing diversity as a source of competitive strength ;
  • Competence in listening with an approachable manner ;
