Duties

Incumbent serves as the primary General Services Office contact for all Welcome Kit (WK) matters, to include the management, control, inventory, delivery, recovery, inspection, maintenance, and upkeep of the kits and storage room. Additionally, serves as a supply clerk when not actively involved with WK Program. As a supply clerk, assists the warehouse supervisor and receiving team with internal and external movement of materials, assists with setup for events, annual inventory, housekeeping, and auctions.

Welcome Kit (WK) Management (80%)

Procurement

  •  Supports GSO housing team by working with Procurement to obtain welcome kit supplies from approved sources, ensuring that the appropriate items are ordered, stocked, and issued. Makes recommendations when WK stock needs to be replenished, added, or upgraded. Maintains a stock of ready WKs for immediate placement into residences.
  •  In addition to Ariba catalogs, searches local and offshore markets for best products and alternatives, and identifies obsolete or unserviceable items and replacements to support residential make ready operations.

Inventory Control

  •  Organizes the storage and distribution of WK. This includes ordering, stock control, placement in residences, and retrieval after occupant has received their Household Effects (HHE).
  •  Inventories items for quantities and conditions and reports shortages, and damages; follows established receiving, storing, and issuing methods and procedures.
  •  Uses the Integrated Logistics Management System (ILMS) loanable module to track hospitality kits. Retrieves kits including television sets and DVD players upon notification of occupants’ HHE arrival.
  •  Updates quantities and part numbers in ILMS inventory database for expendable supplies.
  •  Assures that adequate levels of hospitality kits items are maintained and in usable condition to support housing make ready workload. Makes WKs ready for delivery and have all items practicable collocated. Kits will be standardized for a four (4)-person family, with extra items boxed and easily added to Kits in the event the Kit is needed for a larger family.
  •  Identifies items needing repair or replacement and carries out minor tasks such as laundering linen and floor mats
  •  Receives new items for WKs, inventories, adjust records, and distributes items into WKs and stock as needed. Maintains inventory records of all items included within WKs and are part of the WK stock. Provides monthly inventory reports to supervisory personnel denoting location and condition.

Storage Space (Welcome Kits Lockable Storage) 20%

  •  Ensure that storage room is organized, and that stock items are properly labeled and placed in proper locations, making best use of available storage space.
  •  Moves incoming items to storage areas using hand truck, and other equipment; rearranges existing stock when necessary.
  •  Ensures the areas surrounding the hospitality kits storage are free from debris and obstruction.
  •  Coordinates delivery and return of kits (Including television and DVD player) with the warehouse supervisor.
    Driving:’ ‘Incumbent serves as an incidental operator of official vehicles and meets all requirements outlined in 14 FAM 433*.”

Qualifications and Evaluations

Requirements:
EXPERIENCE:  One year of experience in supply/warehousing/expendables or property management is required.

JOB KNOWLEDGE:  Knowledge of the host country culture is useful because it gives the job holder important contextual information that leads to better decision making.

Education Requirements:
High School diploma is required.
Evaluations:
LANGUAGE:  Level 2 – Limited knowledge; speaking, reading & writing is required. This may be tested.

SKILLS AND ABILITIES . Attention to detail, Problem-solving and initiative. .Must possess a valid class B or C or D or E driver’s license, pass required medical clearances and meet all regulations as an incidental driver of U.S. Government vehicles. Successful completion of SMITH System Defensive Training required.

Agency Benefits:
Locally Employed Staff, including Members of Household (MOHs), and Third-Country Nationals (TCNs), working at the U.S. Embassy in Abidjan, Côte d’Ivoire may receive a compensation package that may include health, separation, and other benefits.

For EFMs, benefits should be discussed with the Human Resources Office.

The pay plan is assigned at the time of the conditional offer letter by the HR Office.
