Background / General description:
Duties and Accountabilities:
- Under the guidance of the Facilities Manager (FM), collect all facilities requirements of the building and the users.
- Ensure reporting and tracking of facilities-related user needs and resolution of reported problems in the CO building.
- In liaison with the FM, participate in the oversight and coordination of contracted services for housekeeping, building maintenance, electrical and security.
- Collect or receive and attend to all Facilities issues from staff in an organized, communicative and transparent manner. Attending to maintenance issues for the office – electrical, plumbing, structural issues with vendors or landlord.
- Involved in the maintenance of office equipment eg. Generator(s), office alarm system, motor vehicles and general building maintenance.
- As custodian of vehicle fuel cards, s/he will be involved in monitoring and controlling fuel for office vehicles and generators.
- Participate in ensuring that established procedures for all fire, life safety and security programs are followed for periodic inspections and staff emergency drills.
- Being custodian of office stationery and other supplies as well as monitoring of goods received and reordering of supplies.
- Maintaining stores bin cards.
- Physical checking of Country Office Assets; Performing physical inventory verification, asset tagging and monitoring of asset movements within the office.
- Processing Madagascar Revenue Authority documents for clearing goods.
- Provide facilitation for the importation of official vehicle(s) and for other eligible staff house-hold goods.
- Custody of access keys to restricted areas.
- Planning of office space in liaison with the FM Facilitation with Ministry of Foreign Affairs for issuance of airport passes for VIPs to and from Madagascar
- Transport coordination (eg: allocation of drivers, vehicle hiring, invoicing and reconciliations)
