- The African Development Bank (AfDB) hereby invites Training Firms to indicate their interest in the following Assignment : Remote/Onsite Training of Champions in Office 365 Adoption ;
- The selected Training Firm will be responsible for the preparation of a group of about eighty (80) Bank staff to understand and perform their role as Champions with a view to facilitating the speedy, proficient and sustainable adoption of Office 365 features within the Bank. The main responsibility of this group will be to train and support end-users to utilize Office 365 to enhance teamwork ;
- The Firm will be mainly responsible for helping the pre-selected Champions to : a) explore cloud computing principles and the functionalities of Office 365; b) identify how Microsoft 365 services support and enhance teamwork; c) gain a good degree of mastery of Office 365 Pro Plus; d) train end-users of Office 365 Pro Plus to keep current their skills in personal productivity, collaboration and automation; and e) recognize and mitigate resistance to change ;
- More details about the scope of services required under the assignment are shown in Annex 1 ;
- The Corporate IT Services Department (CHIS) invites eligible firms to indicate their interest in providing these services. Interested eligible Training Firms or associations of Training Firms shall provide information on their qualifications and experience demonstrating their ability to provide the services (documentation, references for similar services, experience in comparable assignments, availability of qualified staff, etc.) ;
- The eligibility criteria, the establishment of a short list and the selection procedure shall be in conformity with the Bank’s Rules and Procedure for the Use of Corporate Consultants. Please, note that interest expressed by a Consulting Firm does not imply any obligation on the part of the Bank to include it in the shortlist ;
- The training will be held in 8 to 10 two-day remote/onsite sessions, with participants mainly based in Abidjan and several other African capitals. It is expected that the training sessions will be held over a continuous period of four weeks, starting on or around 15 November 2019. Terms of Reference
REMOTE/ONSITE TRAINING SERVICES IN Office 365
- BACKGROUND
1.1 The African Development Bank Group (AfDB) is a regional multilateral development finance institution established in 1963 with a mandate to further the economic development and social progress of African countries, individually and collectively.
1.2 The Bank has over 2000 staff members, who have been recruited from a wide geographic area only limited by membership in the Bank. There are currently 80 different nationalities from Africa, Asia, Europe and the Americas represented within the Bank, making the institution multicultural in every sense of the word. The Bank has two official languages: English and French. It co-operates with a large network of international development partners.
1.3 The strategic objective of the Corporate Information Technology Services department (CHIS) at the Bank is to align the IT delivery strategy along with the Bank’s business strategy, to increase the organizational effectiveness through efficient use of the Information Systems. Under the leadership of the Bank’s Information System’s Director, CHIS department is mandated by the Bank to deliver the best possible IT services for the Bank staff and help achieve the results that will get the Bank closer to accomplishing its development goals.
- SCOPE OF THE SERVICES
2.1 In compliance with its digital strategy, the African Development Bank has acquired an E3 Microsoft License in order to make 0ffice 365 available to all staff online and on premises. At this juncture in the implementation of this bank wide project, the Bank requires the services of a Training Firm to assist in the preparation of a group of about eighty (80) staff members to understand and perform their role as Champions with a view to facilitating the speedy, proficient and sustainable adoption of Office 365 features within the Bank. The main responsibility of this group will be to train and support end-users to utilize Office 365 to enhance teamwork.
2.2 The Training Firm will be mainly responsible for helping the pre-selected Champions to : a) explore cloud computing principles and the functionalities of Office 365; b) identify how Microsoft 365 services support and enhance teamwork; c) gain a good degree of mastery of Office 365 Pro Plus; d) train end-users of Office 365 Pro Plus to keep current their skills in personal productivity, collaboration and automation; and e) recognize and mitigate resistance to change.
2.3 The Firm’s duties will mainly include the development and delivery of a customized training program aiming at bridging the participants’ documented gaps in Office 365 features as well as their ability to train and support managers and colleagues in the proficient application of Office 365. In addition to giving a broad overview of new Office 365 features, the training program will cover at least the following specific use cases :
- Composing/Sending/Saving Messages ;
- Retrieving/ Processing/ Backing Up Documents ;
- Customizing your work space ;
- Managing priorities ;
- Keyboard Shortcuts ;
- Creating/Managing Groups ;
- Sharing Documents/Screens/Whiteboard ;
- Simultaneous review of Documents ;
- Tracking shared tasks ;
- Planning/convening meetings ;
- Participation in conversations ;
- Running Iterative/Complex Tasks ;
- Surveys/Questionnaires ;
- Online translation.
- DELIVERABLES
In the course of its engagement, the Training Firm should develop, deliver and implement the following :
- Training plan, including training programs and their delivery schedule ;
- Training reports per cohort or sub-groups, including evaluations ;
- Certificates of participation ;
- Final report highlighting recommendations about the way forward.
- EXPERIENCE OF THE FIRM AND PROPOSED TRAINERS
4.1 The firm should have proven experience in designing, developing and implementing, both remotely and onsite, a major Microsoft training program within an international institution. Knowledge of the African Development Bank and its operations would be an advantage.
4.2 The composition of the team working on the assignment is of critical importance and should include ad minima :
- A committed team leader with personal experience working in Africa with both public and private sectors ;
- A trainer fully proficient in English ;
- A trainer fully proficient in French.
4.3 The proposed trainers should have the following skills and competencies :
- Microsoft Certified Trainer (MCT) with a minimum of 5 years of relevant professional experience in Microsoft training gained with similar multinational, major private or public institutions ;
- Strong knowledge and practice of corporate training principles, methodologies and tools as they apply to Microsoft products in general and to Office 365 ;
- Ability for teamwork in a multicultural environment ;
- Client Orientation – experience maintaining client relationships in the face of conflicting demands and providing evidence-based advice and solutions based on sound diagnosis and knowledge.
- DURATION
The assignment is planned to take place during November and December 2019.
- LOCATION
The work will be carried out remotely and/or onsite, with participants based in Abidjan and several other African capitals.
- REPORTING REQUIREMENTS AND TIME SCHEDULE FOR DELIVERABLES
The Training Firm will report to the Office 365 Project Manager. The following reporting standards will be adhered to :
- An initial report detailing the methodology and timeline to undertake the assignment, followed by periodic progress reports detailing advancement versus initial objectives, as well as issues encountered which require remedial action by the Bank for deadlines to be adhered to ;
- The initial report is expected 5 calendar days after mobilization of the Consultant; progress reports are expected no later than the second day after the end of each training session; all such reports will be submitted in PDF by email ;
- Final reports, once cleared by the Bank, shall be loaded in the collaboration platform under the project space ;
- Reports will be sent to the attention of the of Office 365 Project Manager.
