Organizational context :
The Logistics Cluster in Zimbabwe aims to support the efforts of the Government, together with the humanitarian community, for the provision of assistance to the cyclone IDAI affected populations. The IMO will provide logistics coordination through information management to enhance predictability, timeliness and efficiency of the emergency response. Supporting all Operational Information Management and Performance Reporting (OIM & PR) activities and contribute to the establishment and presentation of standard operating picture of WFP programme portfolio and associated resultsthat facilitate informed and timely decision-making at all levels throughout the organisation.
Job purpose :
Standard minimum qualifications :
Education: University degree social sciences, international relations, communications, journalism or related field; or the equivalent combination of education and experience.
Experience: Minimum two years of operational experiences with the UN or an NGO in an international context. Experience with Information Management is required.
Knowledge & Skills: Ability to meet deadlines and work under pressure as part of a team; good communication skills; excellent written and analytical skills; basic knowledge of logistics operations and humanitarian reform / cluster concept; sound knowledge of Microsoft Windows, MS Excel, MS Word, MS PowerPoint and other related software.
Languages: Fluency in spoken and written English is required
Key accountabilities (not all-inclusive) :
- The Logistics Cluster Information Management Officer will act as the focal point for collecting, analysing and disseminating logistics information, in close coordination with logistics and information personnel of other UN entities and NGOs involved in the humanitarian response, and national authorities ;
- Gather information on the overall logistics situation in the crisis area, including comprehensive data on logistics procedures and bottlenecks from the various Logistics Cluster participants and national authorities ;
- Produce Logistics Cluster products/reports in Logistics Cluster product formats or specific formats as required within the operation. Key products include: sitreps, bulletins, snapshots, flash news, briefings, road matrix, and area overview ;
- Liaise with Logistics Cluster participants, other Cluster members, and national counterparts to gather information for the production of daily sitreps and weekly bulletins, ensuring that challenges and concerns relating to the logistics operation are represented ;
- Consolidate and share key logistics information and procedures, such as Concept of Operations and Standard Operating Procedures (SOPs) ensuring they are regularly revised/updated if required. Inform relevant stakeholders on commodity tracking reporting procedures ;
- Prepare talking points and agenda for Logistics Cluster coordination meetings, compile minutes / action points and ensure timely sharing of meetings minutes with all participants ;
- Prepare operational overview, briefings and snapshots on the logistics operation for donors, IASC Country Team, Office of the Humanitarian Coordinator and other stakeholders as requested ;
- Attend relevant meetings; represent the Logistics Cluster when requested ;
- Provide WFP’s Reports Officer with inputs about Logistics Cluster activities; liaise regularly with other Reports Officers in other agencies/NGOs ;
- Establish and maintain internal information sharing mechanisms, documentation formats, assessment formats, central file store, according to GLCSC guidelines and standardization ;
- Conduct survey among Logistics Cluster participants and other stakeholders; use the information to draft mid-term/end of mission review of the Logistics Cluster operation.
